Membership Terms and Conditions

By becoming a member of Camelford Leisure Centre, you agree to comply with these Terms and Conditions. These terms are designed to ensure the safety, wellbeing and enjoyment of all members, customers, visitors and staff.
1. Membership Eligibility and Age Restrictions
1.1 Full adult membership is available only to individuals aged 16 years and over.
1.2 Junior membership is available for individuals under the age of 17 and is subject to parental or legal guardian consent. Junior members may access:
· Public swimming sessions (subject to programme rules and supervision requirements)
· Designated junior gym sessions only
1.3 Individuals under the age of 12 must be accompanied by a responsible adult who remains on site at all times. Under 12s are not permitted to use the fitness suite under any circumstances.
1.4 Individuals under the age of 8 must be accompanied in the pool by a responsible adult who remains in the water with them at all times.
1.5 Camelford Leisure Centre reserves the right to apply additional supervision ratios or restrictions depending on activity type, risk assessment, or facility use.
1.6 Membership is personal to the named member and is non-transferable.
1.7 Camelford Leisure Centre reserves the right to refuse or terminate membership at its discretion.
1.8 Members must provide accurate contact details, including a valid email address, telephone number and home address, and must notify the Centre of any changes.
1.9 All members must provide a profile photograph for identification, safeguarding and security purposes.
1.10 Where applicable, parental or guardian consent may be required for participation in specific activities.
2. Membership Fees and Payments
2.1 Members agree to pay all applicable membership fees and charges.
2.2 Membership fees are payable monthly in advance by Direct Debit unless otherwise agreed.
2.3 Direct Debit payments will normally commence in the month following joining. Any pro-rata fees due before the first collection must be paid at the time of joining.
2.4 Membership fees are non-refundable except where required by law or specifically stated within these Terms and Conditions.
2.5 Camelford Leisure Centre reserves the right to amend membership fees and charges. Members will receive a minimum of 30 days’ notice of any increase.
2.6 If a Direct Debit payment fails, the member remains responsible for the outstanding balance. Continued non-payment may result in suspension or termination of membership.
3. Cooling-Off Period
3.1 Members may cancel their membership within 10 calendar days of joining and receive a full refund, provided the membership has not been used.
3.2 Where facilities have been used during the cooling-off period, no refund will be payable.
4. Membership Cancellation
4.1 Membership may be cancelled by providing one full calendar month’s written notice.
4.2 A minimum membership period of two calendar months applies from the date of joining.
4.3 Cancellation requests must be submitted in writing by email or letter.
4.4 Membership fees remain payable throughout the notice period.
5. Health, Fitness and Medical Conditions
5.1 Members are responsible for ensuring they are medically fit to participate in physical activity.
5.2 If you have any concerns regarding your health, medical condition, injury, medication, pregnancy or ability to exercise safely, you should seek advice from a suitably qualified healthcare professional before participating.
5.3 Members must immediately notify the Centre of any significant change in health that may affect their safe use of the facilities.
5.4 Members must not use the facilities whilst suffering from an infectious or contagious illness.
5.5 Camelford Leisure Centre strongly recommends that all members complete an induction before using gym equipment.
5.6 Members are responsible for completing any health screening forms or questionnaires honestly and accurately.
6. Out-of-Hours Gym Access
6.1 Eligible members may be granted access to the fitness suite during designated out-of-hours periods.
6.2 Out-of-hours access is a privilege and may be withdrawn at any time where these Terms and Conditions are breached or where safety concerns arise.
6.3 Members using the facility outside staffed hours do so at their own risk.
6.4 Members must familiarise themselves with all emergency procedures before using the facility out of hours.
6.5 Members are strongly advised to carry a mobile phone whilst using the facility during unstaffed periods.
6.6 Members must never permit access to any other person.
6.7 Tailgating, sharing access credentials, allowing entry to non-members or otherwise compromising site security will result in immediate suspension or termination of membership.
6.8 Members must immediately evacuate the building upon activation of a fire alarm or any emergency evacuation procedure.
7. Unsupervised Activities and Lone Working
7.1 Certain activities may take place without direct staff supervision, including out-of-hours gym use and designated members-only swimming sessions.
7.2 During designated periods, staff may be working alone and immediate assistance may not always be available.
7.3 Members acknowledge that participation in unsupervised activities involves an increased level of personal responsibility.
7.4 Members must not participate in any unsupervised activity if they have a medical condition that may impair their ability to exercise safely alone, including but not limited to:

Serious cardiac or heart
conditions
·
Conditions causing loss of
consciousness or blackouts
·
Uncontrolled epilepsy
·
Severe respiratory conditions
·
Uncontrolled diabetes
· Any condition requiring immediate emergency assistance
7.5 Members are responsible for obtaining appropriate medical advice before participating in unsupervised activities.
7.6 Camelford Leisure Centre reserves the right to restrict access to unsupervised activities where there are reasonable concerns regarding a member’s safety.
8. Behaviour and Conduct
8.1 Members must treat staff, volunteers, coaches, contractors, visitors and fellow members with courtesy, dignity and respect at all times.
8.2 Harassment, bullying, intimidation, discrimination, abusive language or threatening behaviour will not be tolerated.
8.3 Members must comply with the Centre’s Behaviour Policy and all reasonable instructions issued by staff.
8.4 The following may result in immediate suspension or termination of membership:

Abusive or threatening
behaviour
·
Harassment or discrimination
·
Wilful damage to property
·
Misuse of equipment
·
Illegal activity
·
Being under the influence of
drugs or excessive alcohol
·
Allowing another person to use
your membership
· Repeated breaches of Centre policies
8.5 Members may be held financially responsible for damage caused through negligence or deliberate actions.
9. Bookings and Attendance
9.1 Members must provide a minimum of three hours’ notice when cancelling a class, swimming session or other pre-booked activity.
9.2 Failure to provide adequate notice may result in loss of credit or refund.
9.3 Members will receive a warning strike for late cancellations or non-attendance.
9.4 Two strikes within a calendar week may result in a temporary suspension of booking privileges for up to seven days.
9.5 During suspension, members may still use facilities on a walk-in basis, subject to availability.
9.6 The Centre reserves the right to amend timetables, instructors and programmes where necessary.
10. Facility Access and Availability
10.1 Access is permitted only during published opening hours and authorised access periods.
10.2 Opening hours may be altered at the discretion of Camelford Leisure Centre.
10.3 Facilities may be closed or restricted due to maintenance, cleaning, refurbishment, emergencies, staffing or circumstances beyond control.
10.4 Temporary closures do not normally entitle members to compensation.
11. Equipment Use and Hygiene
11.1 Members must use all equipment safely and as instructed.
11.2 Assistance must be sought if unsure how to operate equipment.
11.3 Appropriate sports clothing and footwear must be worn.
11.4 Sweat towels are compulsory in the fitness suite and sports hall.
11.5 Members must wipe down equipment after use using provided cleaning materials.
11.6 Facilities must be left clean and tidy for other users.
12. Lockers and Personal Property
12.1 Lockers are used at the member’s own risk.
12.2 The Centre accepts no liability for loss or theft unless caused by negligence.
12.3 Lockers may be opened where prohibited items are suspected.
12.4 Lockers may be emptied daily and contents stored before disposal after a reasonable period.
12.5 Storage or disposal fees may apply.
13. CCTV and Security
13.1 CCTV operates throughout the facility for safety, security, safeguarding and incident investigation.
13.2 CCTV footage may be retained and used where necessary, including for legal or safeguarding purposes.
13.3 Members must not interfere with security systems or access controls.
14. Liability
14.1 Nothing excludes liability for death or personal injury caused by negligence or where exclusion is prohibited by law.
14.2 Members use facilities at their own risk and must take reasonable care for their own safety.
14.3 The Centre is not liable for losses beyond its reasonable control.
14.4 The Centre is not responsible for injuries caused by misuse of equipment or failure to follow instructions.
15. Data Protection and Communications
15.1 Personal data is processed in accordance with UK GDPR and the Centre’s Privacy Policy.
15.2 Data may be used for administration, safety, communication and permitted marketing.
15.3 Marketing communications can be opted out of at any time.
15.4 Incomplete registration or transactions may be retained and followed up for legitimate administrative purposes.
16. Governance
16.1 Members aged 18+ may attend, vote at and stand for election at the Annual General Meeting, subject to the Centre’s governing documents.

18. Termination of Membership
18.1 Membership may be suspended or terminated immediately for breach of these Terms and Conditions.
18.2 No refund is normally payable where termination results from misconduct.
18.3 Membership may also be terminated where continued membership is considered detrimental to the safety, wellbeing or operation of the Centre.
